Review a deal from application to submission

Written by Victor Fteha

This guide follows one deal from the merchant's application to the moment you review matched funders, before anything is submitted. You scan the application, check the extracted details, confirm the documents are complete, and review the funder matches.

You need the merchant's application PDF and their checking-account bank statements. Funder matches are only as good as the criteria stored on each funder, so load current criteria sheets before you rely on the scores. See AI Scan Criteria: Automatically Extract Funder Criteria from PDFs.

Scan the application PDF

AI Scan creates the deal for you from the application PDF, with the data ready to submit to API funders, so you do not type it in by hand.

  1. Go to the Deals page and click the AI Scan button at the top right. The scan form opens in a new tab.

  2. Go to Settings > Keys, click New Key, and paste the key into the form's API Key field.

  3. Upload the application PDF and click Submit. The deal is created automatically in MCA Pilot.

If you scan applications often, bookmark the scan form with your API key pre-filled so you can skip the paste step. See AI Scan Applications for the bookmark URL.

Deals also arrive on their own when a merchant submits your application form, and both AI workflows then run automatically. That intake path is covered in Application forms.

Check the extracted fields

Review the Details and Criteria tabs on the created deal before you rely on it, because the scanner can miss a value that was in the PDF.

  1. Open the created deal from the Deals page.

  2. On the Details tab, check the business fields (EIN, Business Name, DBA, Business Address, Business Phone, Business Email, Website) and each owner row (name, email, cell phone, date of birth, SSN, ownership %, address).

  3. On the Criteria tab, check the underwriting criteria such as Start Date, Time in Business, Legal Structure, Industry, State, Revenue, Requested Amount, and FICO Score.

  4. To fix a wrong or missing value, click Edit on the tab, update the field, and click Save.

Confirm the bank statements and run the AI checks

AI Underwriting extracts the financials and positions from the bank statements, and AI Docs Check confirms the deal has the full document set. Both run automatically when statements arrive through an application form integration; if you upload statements manually, you run them yourself.

  1. Open the deal and go to the Underwrite tab.

  2. Confirm the checking-account statement PDFs appear in the Bank Statements field. If they are missing, upload them there.

  3. Click AI Underwriting and wait until the status shows Complete.

  4. Click AI Docs Check. The deal status updates to Ready to Submit when the application and the last 3 months of statements are present, or to Missing Documents when something is absent.

  5. If the status is Missing Documents, click Notes and read the Documentation Check and Missing Documents fields, add the missing files to the correct fields, and re-run the two AI buttons.

AI Underwriting processes only checking-account statements in the Bank Statements field. Savings statements, credit card statements, credit reports, loan documents, and applications are ignored.

If statements are missing, stuck on upload, or sitting in the wrong field, see Recover missing bank statements and re-run AI Underwriting.

Review the matched funders

Once AI Docs Check confirms the documents are present, Auto Sub scores every funder against the deal. The default mode is Review First, so you get the results to review before anything goes out.

  • Qualified funders get a letter grade based on their match score: A (90-100%), B (75-89%), C (60-74%), D (below 60%). Funders with a deal-breaker, such as a restricted industry or state, are marked DQ and cannot be selected.

  • With the default Notify Via setting of Both, the top-scoring funders are pre-selected on the deal and you also get an email with the scores, grades, and an interactive funder table.

  • Pre-selections are a starting point. Adjust them in the email or on the deal before you submit.

In YOLO Mode, Auto Sub submits the deal to the top-matching funders immediately, with no review step. Keep Review First as your workspace default until you trust the scoring.

A funder you expected may show in the Filtered Out table, often because a deal or funder criteria field is blank. Hover the funder and click Mismatch Reason to see why it did not fit. For the full breakdown of qualified, unqualified, and filtered-out funders, see How to match funders automatically for a deal.

Matching surfaces the funders most likely to fit: MCA Pilot does not underwrite deals, and the lender makes the final decision. A count like 45 funders matched is how many funders were not ruled out. It is not a ranking and not a promise of approval, so trust the ranking at the top, not the count.

Submit the deal

When you are happy with the selections, send the deal to the funders you chose.

  1. Open the deal's Funders tab.

  2. Select the funders with the checkboxes on the left side of the table.

  3. Click the green Add to queue button, then click the green Submit button. Submit stays unavailable until at least one funder is in the queue.

Submitting emails the deal to the selected funders. Check your selections before you click Submit.

You can also submit straight from the Auto Sub email: review the checked funders and click Submit to Selected Funders. The full submission details are in Auto Sub: Automatically Score and Submit Deals to Funders. If a submission fails or controls are missing, see I can't submit deals — troubleshooting.
