If a submission looks like it went through but a funder is missing from the Submissions tab, a deal is queued but never sends, the Submit button is not responding, or a submission failed with an error, work through the sections below in order.
A funder is missing after you submit
If you clicked Submit and the deal looks sent, but one or more funders do not appear in the Submissions tab, MCA Pilot may have blocked a duplicate submission.
MCA Pilot enforces two duplicate-blocking rules:
2-minute retry block: After a failed submission to the same funder, you must wait at least 2 minutes before resubmitting. A second click within 2 minutes is ignored.
24-hour active-submission block: If there is already an active submission to that funder within the last 24 hours and its status is not Errored, the funder is skipped.
To resubmit to a skipped funder:
Open the deal and go to the Submissions tab.
Find the existing submission to that funder.
Change its status to Errored, or delete it.
Return to the deal and click the green Submit button again.
To send only to new funders without touching an existing submission, select only the additional funders on the Funders tab, then click Add to queue and Submit.

A deal is queued but never sends
If you selected funders and clicked Submit, but the deal stays in queue and never sends, the email sender may be disconnected.
Click your profile in the top right and select View profile.
Open the Senders tab.
Hover over the sender and click Test Connection.
If the status does not show Verified with a recent timestamp, reconnect the sender.
Common sender failures and how to fix them:
Gmail: If you changed your Gmail password, Google automatically deleted the app password. Generate a new one at Google App Passwords, then update it in MCA Pilot on the Senders tab by clicking Update Password.
Microsoft 365: A
535error usually means SMTP AUTH is disabled in your tenant. See Why am I getting an 'Invalid login: 535' error with Microsoft 365?.

The submission failed with an error
Missing or invalid deal fields for an API funder
Some funders require specific fields before they will accept a submission. If those fields are missing or invalid, the submission errors after it is sent.
To fix and resubmit:
Open the deal and go to the Submissions tab.
Click View error on the failed submission.
Fix the missing or invalid fields in the Details and Criteria tabs.
Click Save, then resubmit the deal.
Previously selected funders are preserved when a submission errors, so you usually do not need to re-select them. For the full field mapping, see How to Edit Deal Fields for API Submissions.
Invalid login error
If you see an error like:
"Invalid login: 535-5.7.8 Username and Password not accepted"
This happens when your Gmail password has changed, because Google automatically deletes app passwords for security.
To fix this:
Generate a new app password in Google:
Go to Google App Passwords.
Make sure you are signed into the email account you submit from.
Name the app password (for example, "MCA Pilot").
Click Create and copy the 16-character password shown.
Update the password in MCA Pilot:
In MCA Pilot, click your profile in the top right and select View profile.
Open the Senders tab.
Hover over your sender email account and click Update Password.
Paste the new 16-character app password and click Save.
Test it by hovering over the sender and clicking Test Connection.
The Submit button is missing, greyed out, or won't respond
Button is greyed out and won't click
If the button appears but does not respond, this is usually a temporary browser issue.
Reload the page (
Cmd + Ron Mac,Ctrl + Ron Windows).If that does not help, clear your browser cache or try incognito mode.
If the button is still greyed out after these steps, try creating a new deal and re-uploading your files as a temporary workaround. For more browser fixes, see Why is the Submit button greyed out?.
No Submit button at all
Only users with the Can submit deals permission can see the Submit button.
Ask your workspace admin to confirm your role includes this permission.
Confirm you have access to at least one sender email account.

Empty sender dropdown
If the Submit button works but the email-account dropdown is empty, your user has not been added to the sender.
In Settings → Senders, hover over the sender, click Edit, select the Users field to add yourself, and click Confirm.

Funders won't queue or controls are missing
If you don't see checkboxes or the green Add to queue button on the Funders tab:
Make sure you're on the Funders tab of the deal.
If a funder row has no select control, that funder may already be in the selected funders field. Check the Queue or Submitted Funders sections above the table.
If you've selected funders but the green Submit button still doesn't show:
Click the green Add to queue button at the top left of the table. The Submit button only appears after funders are added to the Queue.
If you just uploaded files, wait until the top-right Edit button shows Done before trying to submit.
Resubmit multiple failed deals
MCA Pilot does not have a bulk resubmit feature. You must fix and resubmit each failed deal individually.
For each failed deal:
Open the deal and go to the Submissions tab.
Click View error on the failed submission.
Fix the missing or invalid fields in the Details and Criteria tabs.
Click Save, then resubmit the deal.
