If you've ever had a merchant's application and wanted to create the deal in MCA Pilot, you know that it takes time to enter all of the deal data manually.

Yes, you can always just type the name of the deal and upload the bank statements. But then you won't be able to submit that deal to any API funders.

Now you'll be able to effortlessly create the deal in MCA Pilot, with all data ready to be submitted to API funders, from just a PDF application!

Have a whole stack of applications, or a lead sheet from a provider? The bulk importer creates many deals at once — and reads application PDFs the same way. See How to Import Deals in Bulk (CSV, Excel & Document Packages).

To get started:

  1. Go to the main Deals page and click the AI Scan button at the top right to open up the form in a new tab.

2. In MCA Pilot, go to Settings > Keys and click New Key to create one. Copy the key and paste it into the form's "API Key" field.

3. Upload the PDF application and click the Submit button. The deal will be created automatically in MCA Pilot.

Pro Tip: Bookmark the Form with Your API Key Pre-filled

If you use this form frequently, you can save time by bookmarking a URL that has your API key already filled in. This way, you won't need to paste your API key every time you want to scan an application.

To create your bookmarked URL:

  1. Take your API key from Settings > Keys

  2. Use this URL format, replacing YOUR_API_KEY with your actual key:

https://n8n.mcapilot.com/form/deal-import?API%20Key%20%28Go%20to%20Settings%20%3E%20Keys%20to%20create%20one%29=YOUR_API_KEY

3. Bookmark this URL in your browser

Now whenever you click your bookmark, the form will open with your API key already populated, and you can immediately upload your PDF application!

Check the extracted fields on the created deal

Review the deal record's Details and Criteria tabs before you submit it to funders. AI Scan creates the deal from the application PDF, and the extracted values land on the deal record.

  1. Open the created deal from the Deals page.

  2. On the Details tab, check the business fields (EIN, Business Name, DBA, Business Address, Business Phone, Business Email, Website) and each owner row (name, email, cell phone, date of birth, SSN, ownership %, address).

  3. On the Criteria tab, check the underwriting criteria such as Start Date, Industry, State, Revenue, Requested Amount, and FICO Score.

Extraction is not always complete: we have seen the scanner miss a value that was present in the application PDF, such as an owner email. To fix a wrong or missing value, click Edit on the Details or Criteria tab, update it, and click Save. See Edit deal fields after an application form generates a deal for the full field lists.

Bank statements missing after the deal is created

When the scanned deal is missing bank statements, add the files to the deal and re-run the AI checks from the Underwrite tab. AI Scan reads the application PDF; bank statements are a separate part of the deal, processed by AI Underwriting.

AI Underwriting processes only checking-account statements in the Bank Statements field. Savings statements, credit card statements, credit reports, loan documents, applications, and other files are ignored.

  1. Open the created deal and go to the Underwrite tab.

  2. Confirm the checking-account statement PDFs appear in the Bank Statements field.

  3. If statements are missing, upload the checking statements into the Bank Statements field. If a file is corrupted or unreadable, remove it and re-upload a clean PDF.

  4. Click AI Underwriting and wait until the status shows Complete.

  5. Click AI Docs Check. The status updates to Ready to Submit when the application and the last 3 months of statements are present, or to Missing Documents when something is absent.

  6. If the status is Missing Documents, click Notes and read the Documentation Check and Missing Documents fields for the specific items, add the files to the correct fields, and re-run AI Underwriting and AI Docs Check.

For stuck uploads, unreadable PDFs, and the full recovery sequence, see Recover missing bank statements and re-run AI Underwriting.
