Recover team login and lost account access

Restore access by matching the problem: each person resets their own MCA Pilot login password, an admin can resend an invite or delete a departed user, and login password recovery is separate from email sender password recovery.

Sign in at app.mcapilot.com/login. Use the sections below in order if you are not sure which path applies.

Admins cannot change another person’s MCA Pilot login password in the app. Each user resets their own password. Do not treat a sender Update Password step as a login reset.

Pick the right recovery path

Use one path for the symptom you have. Mixing login reset with sender or permission fixes wastes time.

  • Cannot sign in or forgot the password — reset the login password on the forgot-password page.

  • Invite never arrived or the account was never finished — free a seat if needed, then resend the invitation.

  • A teammate left and still appears in the workspace — delete that user to free the seat, then invite a replacement if needed.

  • Sign-in works, but deals, Submit, or senders are missing — fix seats, roles, permissions, or sender access, not the login password.

  • Submissions fail with an invalid login on the mailbox — reconnect the email sender; that is not the MCA Pilot account password.

Reset a login password

Every user resets their own MCA Pilot password from the forgot-password page. There is no admin “change password” control for another user.

  1. Enter the email address used for that MCA Pilot login.

  2. Complete the reset from the email that arrives.

  3. Sign in again at app.mcapilot.com/login.

If you are an admin helping a teammate, send them that forgot-password link. Do not look for a password field on their user row in Settings > Workspace.

Password reset email never arrives

Confirm the person is using the email on their MCA Pilot user record, not a different work alias. Have them check spam. If they never accepted an invite, resend the invitation from the Team Members table instead of only running forgot-password.

Admin needs a teammate signed in again today

MCA Pilot does not let an admin set a temporary password for someone else. Send the teammate app.mcapilot.com/forgot. If they never finished signup, hover their row in Settings > Workspace and click Resend invitation email.

Resend an invite or replace a stuck user

A person needs an available seat and a completed invite before they can create their login and sign in.

  1. Go to Settings > Workspace and check Seats Remaining.

  2. If seats are at zero, click Manage Subscription, enter the billing email you signed up with, verify the code, and add a seat. After about five seconds, return to Settings > Workspace.

  3. If the person is already listed, hover their row and click Resend invitation email.

  4. If they are not listed, click New User, enter their email and name, and optionally their Form ID in Unique App ID.

Teammate says they never got the invite

In Settings > Workspace, hover the user and click Resend invitation email. Confirm the email address on the row is correct before you resend. After they accept, they create their own password during signup.

No New User button on the Team Members table

You need an available seat first. Open Manage Subscription from Settings, add a seat with the billing email, wait about five seconds, then check Seats Remaining again. If a departed teammate still occupies a seat, delete that user first instead of buying another seat.

Remove a departed teammate

Delete the user in Settings > Workspace when someone leaves and you need their seat back or they should no longer appear on the team.

  1. Go to Settings > Workspace.

  2. Hover the person in the Team Members table and click Delete.

  3. Wait about five seconds for the seat to show as available.

  4. If you are replacing them, click New User and invite the new person.

Deleting a user frees the workspace seat. It is the supported way to clear a departed teammate from the Team Members list. When someone leaves, remove them with Delete in Settings > Workspace. That is the supported cleanup path for a departed teammate.

Only need the seat for a replacement

Delete the old user, wait about five seconds, then invite the replacement with New User. You do not need to change billing if your seat count already covers the replacement.

No remaining admin can open billing or Workspace

Seat and billing changes need the original billing email in Manage Subscription. Signed in but still blocked

A working login does not grant deal visibility, submit rights, or sender access by itself. Fix the access layer that matches the symptom.

Login error is actually the email sender

Messages such as Invalid login: Username and Password not accepted on a submission usually mean the mailbox or app password failed, not the MCA Pilot account password.

Restore the existing sender from View profileSenders with Update Password, Sign in with Microsoft, or Edit, then run Send test email until status shows Verified. Full steps: Reconnect your email sender.
