How to Set Up a New User in Your Workspace

The article explains about how to add a new user to your workspace, assign permissions, and ensure reps can see the right deals.

Checking If A Seat is Available

  1. Go to Settings > Workspace

  2. Find the "Seats Remaining" box

  3. If it's 0, you'll have to add a seat - otherwise, skip to "Creating the New User"

Adding a Seat to your Subscription

  1. Go to Settings and click the green "Manage Subscription" button

  2. Enter your billing email address—the email address you used when you first signed up for MCA Pilot—and then the verification code sent to that email

  3. Update your subscription to add another seat

If you don't receive a verification code, make sure you're using your billing email address—the email you used when you first signed up for MCA Pilot—and not your login email or another address.

Creating the New User

  1. Once a seat is available, go to Settings > Workspace.

  2. Click the "New user" button.

  3. If the new user doesn't receive an email right away, hover over their name and click "Resend invitation email."

Ensuring a Rep Can See Incoming Offers

Reps can only see deals where they are assigned as an Originator or Closer. Here's how different roles impact deal visibility:

  • Reps – See deals where they are the Originator or Closer.

  • Managers – See their own deals plus deals where someone they manage is the Originator.

  • Admins & Super Admins – See all deals.

How to Give a Rep Access to More Deals

To ensure a rep can see all relevant deals, you can: ✅ Auto-assign the rep as an Originator or Closer on all deals coming from Jotform. ✅ Manually reassign deals by clicking "Reassign" and adding the rep as an Originator or Closer. ✅ Change their role to Manager and assign them as a Manager over you, so they can see all your deals. ✅ Change their role to Admin, so they have access to all deals. ✅ If there's a Rep Name field on Jotform, auto-assign each deal to the correct rep.
