Why do my reports or filters show the wrong deals?

If a report, filtered view, or export looks outdated, is missing deals, or shows records you didn't expect, the cause is usually one of three things: the report covers a fixed time window, your current filters are narrowing the results, or your browser is holding onto stale data. Check the sections below to match your symptom and find the fix.

Report looks stale or missing recent deals

Daily reports and some exports do not update in real time. If deals feel missing, check whether the report window, export status, and your browser data match what you are looking for.

Daily report is missing older funded deals

Daily report emails only include deals that were created, submitted, approved, or funded in the last 24 hours. They are sent automatically at 6 AM every morning. If a deal was funded earlier, it is expected to be missing from that morning's email.

To review deals outside the 24-hour window, open the deal in the app or export your data to CSV. For more on daily reports, see How to Get Daily Reports.

Bulk export is still running or looks incomplete

When you run Export All Deals and Owners from Reports → Export, the file is built in the background. You will see progress messages like Getting Deals…, Getting Owners…, and Uploading File… before Export Complete appears. If the status is still earlier than Export Complete, the file is not ready yet.

If a bulk export shows Errored, try again. If the error repeats, contact support. For more on exports, see How to Export All Deals and Owners.

Deals look outdated even after a normal refresh

MCA Pilot can hold stale site data in your browser that a normal refresh does not clear. This can make pages look outdated or cause features to behave strangely. Clearing the site data for your MCA Pilot URL and signing in again usually resolves this in under a minute.

View shows deals I don't expect, or I can't see some deals

What you see depends on which table you open, your workspace role, and whether an offer is selected.

I can only see some deals, or the Reports section is missing

Your workspace role controls which deals and pages you can open:

  • Admin / Super Admin — full access to Reports and all deals.

  • Manager — sees own deals plus deals where a managed rep is the Originator. Cannot open the Reports section.

  • Rep — sees only deals where they are the Originator or Closer. Cannot open the Reports section.

If you see an only visible to admins message, ask your workspace admin to change your role. If you are an admin and see zero values in reports, check that Can access payments page and Can access payments table are enabled in Settings > Workspace > Team Members > Edit > Permissions. Deal status looks wrong or the status dropdown is greyed out

If the deal status dropdown is greyed out, it is usually a temporary browser issue. Reload the deal page, clear your browser cache, or open the deal in an incognito or private window.

If you are changing status from the Offers area, you must first select an offer. Hover the offer and click Select. After an offer is selected, the deal status and offer status stay in sync when you update either one. For more on status syncing, see How to track deal statuses and offer statuses.

Filter results don't match what I expected

Exports and table views respect the filters you have active, but bulk exports and role permissions can override what you think should be visible.

Table export includes fewer deals than expected

Exports from the Deals or Offers tables only include the records that match your current filters. If you have filters applied for status, date range, or deal name, the export will only include matching records. To export all deals regardless of status, use Reports → Export → Export All Deals and Owners instead. For more details, see How to Export All Deals and Owners.

Status filter shows deals in a state I didn't expect

AI-powered processing will not overwrite terminal statuses such as Approved, Declined, or Funded. If a deal status does not update automatically after a submission, it may be because the status is already terminal. Also, AI processing requires the submission to be linked to a deal. Without a linked deal, the workflow stops and the status will not change.
