Connect MCA Pilot to Close by creating a Close API key, matching your reps by email, and checking that your first deal lands in Close under the right rep. Once you are connected, deals and status updates move both ways between the two systems. Our team completes the connection on our side after you send us the key, so setup happens together with support.
Before you start
Make sure these two things are in place before you create the key:
A Close admin account. Only an admin can create the API key.
A Close user for every rep who should own opportunities in Close, using the same email address they use in MCA Pilot. Opportunities land under the Close user whose email matches the rep.
Create the API key in Close
Create the key from your Close admin settings:
Log in to Close with an admin account.
Go to Settings > Developer > API Keys.
Click + New API Key.
Name the key MCA Pilot.
Copy the key right away.
Close shows the API key only once. If you lose it before sending it to us, create a new key.
Send the key to us
Email the key to [email protected] in a new email. Our team sets up the connection with you on a call, or a Close consultant we work with can build it. We confirm when your workspace is live.
How your reps match to Close users
MCA Pilot matches Close users to reps by email address. A deal's opportunity in Close lands under the Close user whose email matches the rep assigned to the deal in MCA Pilot.
Owner changes sync both ways between MCA Pilot and Close. To check who is assigned to a deal in MCA Pilot, see How to find who is assigned to a deal.
Application forms and Close
Applications submitted through your application forms go straight into MCA Pilot. Whether those submissions should also be created as leads in Close is a choice you make with our team. Contact support and tell us which forms should also create Close leads. For how form intake works, see Application forms.
If you use Fillout, invite [email protected] to your form so each application links to the correct Close lead.
Check your first deal
Submit one test deal and confirm the result before your team goes live:
Submit a test deal in MCA Pilot.
Open Close and confirm the opportunity appears.
Confirm the opportunity owner is the Close user whose email matches the rep assigned to the deal.
If the owner is wrong, check that the Close user's email exactly matches the rep's email in MCA Pilot.
Ways to move work between Close and MCA Pilot
After the connection is live, deals and updates flow both ways. These workflows are set up with our team together with the connection, not from a settings page:
Open a deal's lead in Close with the Open in CRM button on the deal in MCA Pilot.
Open the matching deal in MCA Pilot from Close with the MCA Pilot Deal field on the lead.
Create a deal in MCA Pilot from a Close lead by logging PUSH TO MCAPILOT on the lead. The deal is created with its documents.
Keep statuses in step: when a deal reaches Approved or Funded in MCA Pilot, the Close lead updates on its own with a note showing the details. Marking a deal Funded in MCA Pilot also moves the Close lead to FUNDED.
Rep and status changes sync in both directions, so the rep you assign in either system matches in the other.
Vault placement and lead routing
Vault placement, lead rotation rules, and custom Close fields are configured with our team rather than in a settings page. Contact support through the blue chat icon in MCA Pilot or email [email protected] with the rules you want, such as which Vault a lead belongs in or when a lead should move between reps.
If you pair MCA Pilot with a different CRM instead, see Does MCA Pilot integrate with MCA Simplified / GoHighLevel?
