Send automated SMS and email follow-ups to deals

Use Follow Ups to send automated emails and SMS messages to every deal in a specific status on a schedule you define. For example, you can email merchants in Missing Documents with a list of required docs and an upload link, text approved offers to deals in Approved, or remind merchants in Up for Renewal to send their latest bank statements.

Before you begin: To send SMS messages, connect an SMS provider first. Go to Settings > Senders > New SMS Account to connect GoHighLevel, Twilio, TextUs, or OpenPhone.

Create a follow-up

  1. Go to Settings in MCA Pilot.

  2. Click the Follow Ups tab.

  3. Click New Follow Up.

  4. Configure the follow-up:

    • Status — Choose which deal status triggers the message (e.g., Missing Documents, Approved, Up for Renewal).

    • Message Type — Select Email, SMS, or both.

    • Schedule — Set when and how often it sends (daily at a specific time, weekly, etc.).

    • Subject (for emails) — The email subject line.

    • Message Body — Your message content. You can use variables like {business_name}, {owner_first_name}, {missing_docs}, etc.

  5. Click Save.

MCA Pilot will now automatically send messages to all deals matching that status according to your schedule.

Personalize messages with variables

Variables auto-fill with deal information. All variables must be in single curly brackets.

  • {business_name} — The merchant's business name

  • {owner_first_name} — First name of the business owner

  • {missing_docs} — List of missing documents

  • {missing_docs_upload_url} — Link for merchant to upload documents

  • {all_offers_all_details} — Formatted list of all funding offers

  • {highest_offer_funding_amount} — Highest offer amount

Example scenarios

Missing Documents Reminder (Email)

Send a daily email to deals in Missing Documents status:

Subject: Quick reminder - we need a few more docs for {business_name}
Body: Hi {owner_first_name}, We're almost ready to submit your application! We just need: {missing_docs} Upload them here: {missing_docs_upload_url} Thanks!

Approved Offer via SMS

Text approved offers to merchants:

Message: Great news {owner_first_name}! Your funding is approved: {highest_offer_all_details}. Reply YES to move forward.

Renewal Follow Up

Monthly email to deals up for renewal:

Subject: Time to renew funding for {business_name}
Body: Hi {owner_first_name}, your current funding is coming up for renewal. Send us your latest bank statement and we'll get you a fresh offer with better terms.

Connect an SMS provider

To send SMS messages via Follow Ups, connect one of these providers:

  • GoHighLevel — If you already use GHL for your sales process. See setup guide.

  • Twilio — Popular SMS API service

  • TextUs — Performance SMS

  • OpenPhone — Business phone system with SMS

  1. Go to Settings > Senders.

  2. In the SMS Accounts table, click New SMS Account.

  3. Select your provider from the dropdown.

  4. Enter your provider's API credentials (API Key, User ID, etc.).

  5. Click Save.

Once connected, you can select SMS as a message type when creating Follow Ups.

Edit or pause a follow-up

To change an existing template, including sender selection and wording, see Edit automated follow-up and approval email templates.

  1. Go to Settings > Follow Ups.

  2. Find the follow-up in your list.

  3. Toggle it off to pause without deleting.

Follow Ups run automatically on their schedule. Test with a single test deal first to make sure your message looks correct before enabling it for all deals in a status.
