Edit automated follow-up and approval email templates

Open an existing follow-up template in Settings > Follow Ups, then change the subject and message body while keeping the variable syntax intact so the automation keeps running.

Open and edit a template

Existing templates are edited directly from the Follow Ups list.

  1. Go to Settings in MCA Pilot.

  2. Click the Follow Ups tab.

  3. Hover over the follow-up row you want to change and click Edit.

  4. Update the fields you want to change:

    • Subject — the email subject line.

    • Message Body — the email or SMS content.

    • Schedule — when and how often the message sends.

  5. Click Save.

Change wording without breaking variables

Variables in the subject and body are replaced automatically when the email sends. Keep the single curly bracket syntax exactly as shown.

  • Variables must use single curly brackets: {business_name}, not {{business_name}}.

  • Do not change the text inside the brackets. If you need a different value, pick a different variable from the reference list.

  • If you previously hardcoded a phone number or name, replace it with the matching variable — for example, swap a static phone number for {originator_phone}.

Choose who sends the email

Automated emails can send from one shared address or from the deal originator.

  • One Email for Entire Workspace — every message sends from the Fallback Sender.

  • Each Deal's Originator — the system tries to send from the originator's Merchant-Facing Email Account. If that account is not connected or is missing, it falls back to the Fallback Sender.

If an originator's email account is disconnected, the follow-up will fall back to the Fallback Sender until the account is reconnected.

Who gets copied on the email

Follow-up emails do not support CC. The only copy option is a BCC checkbox inside the follow-up template.

  • Check BCC Me On Reminder Emails to receive a blind copy of every follow-up message.

  • When this option is enabled, the BCC is sent from the Fallback Sender address.

Test your changes before enabling broadly

Follow Ups run automatically on their schedule. Test with a single test deal first to make sure the message looks correct, then enable it for the full status.

  • To pause a follow-up without deleting it, toggle it off in Settings > Follow Ups.

  • After saving edits, review the preview or send a test to yourself before the next scheduled run.
