AI Rename: Automatically Standardize Bank Statement File Names

Use AI to automatically rename bank statement files with a standardized naming format including year, month, bank name, and account number.

The AI Rename feature uses artificial intelligence to automatically rename bank statement files with a consistent, organized naming convention. This makes it easier to identify statements at a glance and keeps your deal files organized.

How It Works

When you trigger AI Rename, the system analyzes each file in the Bank Statements field using AI to extract key information:

  • Bank name (normalized to a standard format like "Chase", "BofA", "WellsFargo")

  • Account number (last 4 digits)

  • Statement month and year

Files are then renamed using this standardized format:

YYYY-MM_BankName_####.pdf

Example: A Chase bank statement for account ending in 0518 from August 2025 becomes:

2025-08_Chase_0518.pdf

Using AI Rename

  1. Navigate to Deals and open the deal record you want to work with

  2. Click the Underwrite tab

  3. In the Files section, click the AI Rename button

  4. The system will process each file in the Bank Statements field one at a time

Tracking Progress

You can monitor the rename process in the Updates panel on the right side of the deal record:

  • Status: Shows "in progress" while running, "complete" when finished

  • Message: Displays real-time progress (e.g., "Renaming 2 of 4: filename.pdf")

Once complete, the message will confirm how many statements were renamed (e.g., "Renamed 4 bank statements").

What Gets Renamed

AI Rename only processes files in the Bank Statements field. The AI identifies valid bank statements by looking for:

  • Checking account statements

  • Savings account statements

  • Credit union statements

  • Money market account statements

  • Month-to-date transaction history/printouts

Files that are not bank statements (credit card statements, loan documents, applications, merchant processing statements, etc.) are automatically skipped and left unchanged.

Statement Month Logic

The system uses a "10-day rule" to determine the correct statement month based on the closing date:

  • If the statement closes on the 1st–10th of a month → assigned to the previous month

  • If the statement closes on the 11th–31st of a month → assigned to that month

Supported Banks

Common banks are normalized to standard abbreviations:

For banks not in the standard list, the system removes common suffixes (Bank, Credit Union, N.A., etc.) and converts to CamelCase.

Tips

  • Upload all statements first before running AI Rename to process everything in one batch

  • Files that can't be identified as bank statements will be skipped automatically

  • If a file is renamed incorrectly, you can manually rename it or re-upload the correct document

  • The feature works with PDF, PNG, and JPG file formats

Troubleshooting

AI Rename shows "errored" status: Check that the files are valid bank statement documents and not corrupted. If the issue persists, try re-uploading the files.

A file wasn't renamed: The AI determined it wasn't a bank statement. Verify the document is actually a checking/savings account statement and not a credit card statement or other document type.

Wrong month assigned: The system uses the statement closing date with the 10-day rule. If the closing date falls early in the month, the previous month is assigned intentionally for accurate organization.
