Map funder reply domains for approval and decline emails

When a funder replies from a different email domain than the one you submit to, MCA Pilot cannot match the response to your submission until you add that reply domain to the funder.

Find the reply domain

Check the actual From email address on the funder's response. The reply domain is often different from the submission domain.

For example, if you submit to [email protected] but the funder replies from [email protected], the reply domain is everestbusinessfunding.com.

Add the domain to the funder

  1. Go to Funders and open the funder.

  2. Navigate to the Submission Method tab.

  3. Add the reply domain under Additional domains.

Verify the mapping

After adding the domain, wait for the next processing interval or trigger it manually:

  1. Go to your profile and open the Senders tab.

  2. Hover over the sender that receives funder responses and click Auto process funder responses to trigger processing on demand.

Check the submissions table for the AI column checkbox. If the email was matched and processed, the checkbox is checked.

If the domain is still not matched

Recently created funder

If the funder was created recently, its domains may not be cached yet. Contact support to force a cache refresh.

No deal linked to the submission

AI matching requires a linked deal. If there is no deal attached to the submission, the workflow stops entirely. Make sure every submission has a deal before expecting AI processing.

IMAP connection issues

If no funder responses are being picked up at all, verify your IMAP credentials and settings. Wrong IMAP settings prevent the AI from reading any emails. See Configure Your IMAP Settings.

Google security alerts

If you use Gmail, check whether Google sent a security or access alert. Approving the connection can restore AI processing.

AI will not overwrite terminal statuses. If the submission is already Approved, Declined, or Funded, the AI blocks further updates to prevent changing closed deals.
