Emails erroring with "Invalid login: Username and Password not accepted"

How to reconnect your email account after changing your Gmail password.

This error means your email provider rejected the login credentials MCA Pilot is using to send emails.

If you recently changed your Gmail password, all your app passwords were automatically deleted. You need to create a new one.

Gmail Users

When you change your Gmail password, Google automatically revokes all app passwords for security. The app password MCA Pilot was using no longer works.

Quick Fix

  1. Create a new app password named "MCA Pilot"

  2. Copy the 16-character password (no spaces)

  3. In MCA Pilot: Settings → Senders → hover over your sender → Update Password

  4. Paste the new password and click Save

  5. Test it: hover over sender → Test Connection

Step 1: Create a New App Password in Google

First, you need to generate a new app password from your Google Account.

  1. Sign in to your Google Account if prompted

  2. You'll see a field to name your app password. Enter "MCA Pilot" (or any name you'll recognize)

  3. Click the Create button

  4. Google will generate a 16-character password and display it on screen

Copy the password carefully. Don't include any extra spaces at the beginning or end. This password will only be shown once.

Step 2: Update the Password in MCA Pilot

Now you need to update the password MCA Pilot uses for this email sender.

  1. In MCA Pilot, click your profile in the top right

  2. Select View profile

  3. Go to the Senders tab

  4. Find the sender that's showing the error

  5. Hover over it and click the Update Password button

  6. Paste in the 16-character app password you just copied from Google

  7. Click Save

Step 3: Test the Connection

Verify that the new password is working correctly.

  1. Still on the Senders tab, hover over the same sender

  2. Click Test Connection

  3. Enter any email address where you can receive a test message

  4. Click Send

If the sender status shows "Verified" with a timestamp, you're all set. The error is fixed and you can resume submitting deals.

If you still see an error, double-check that you copied the app password correctly (no extra spaces) and that you're using the app password, not your regular Gmail password.

Don't have 2-Step Verification enabled? You'll need to turn it on before you can create app passwords. Go to 2-Step Verification settings, click "Get Started," and follow the prompts to set up your second authentication method (phone, authenticator app, etc.).

Microsoft 365 / Outlook Users

If you're using Microsoft 365 or Outlook and see a 535 error, the issue is different from Gmail.

Microsoft requires SMTP AUTH to be enabled by your administrator before MCA Pilot can send emails. This isn't something you can fix yourself if you're on a company account.
